Painting estimating software: the short answer

Pick by how you price, not by the longest feature list. A painter who prices from production rates (square feet of wall per hour, linear feet of trim per hour) needs software that stores those rates. A painter who prices by the room and loses jobs to slow follow-up needs a quoting app with automatic reminders. The table matches each kind of painting business to the tool whose pricing page fits it, and says why.

Which tools do painting-specific estimating

A painting estimate is measured surfaces times production rates times your labor cost, plus materials, plus options the customer can add. The table shows what each pricing page lists for those four jobs (for Clear Estimates and Bolster, their own painting and home pages too, where the row says so). “Not listed” means the vendor's page does not name it, not that the tool cannot do it; ask in the demo.

Whatever tool you choose, the rates you load decide the price. Check yours against the labor cost calculator and the gallons against the paint calculator before the first bid goes out; software repeats a wrong rate on every job.

What it costs for an owner and two estimators

Entry prices are for one user. A painting company with an owner and two people who walk jobs and send bids pays for three, so here is the monthly bill on monthly billing, worked from the listed prices.

Monthly cost for three estimating users, from listed prices
Tool and planWorked fromMonthly total
PaintScout Sales$119 + 2 team seats x $20$159
PaintScout Sales + Operations$159 + $99 add-on for scheduling and jobs$258
Estimate Rocket Launch3 full users included; billing term not stated$139
DripJobs Pro + Production Rates$97 + $99 add-on, 1 admin user$196 + users on request
Markate Owner Operator$49.95 + 2 employees x $5$59.95
Contractor+ Pro Team$98 (2 users) + 1 x $29$127
Bolster Core$189 + 2 extra users x $20$229

Read the user rules before you compare totals: Markate's $5 is per employee on its Team pricing, and DripJobs prices extra users on request. Setup is the other line. PaintScout includes free onboarding and sells optional Success Packages from $999; Estimate Rocket includes training and onboarding and sells a done-for-you setup package at extra cost. Divide the monthly total by your billable crew hours, or let the overhead calculator do it.

Free estimating software for painting contractors

One of the ten tools above publishes a free plan: Contractor+ Freedom, free for up to 5 estimates or invoices a month (read November 3, 2026). Of the rest, five offered a two-week trial with no credit card and Estimate Rocket a free trial and a 90-day full refund window (read October 30, 2026), Clear Estimates offers a 30-day free trial, DripJobs said it offers no trial, and Bolster's pricing page lists none. The cheapest paid plan was Joist Basics at $10/mo. The $0 and the $10 plan share one catch, a cap of 5 documents a month: a painter sending six bids and six invoices a month needs Joist Pro or a paid Contractor+ plan.

A painting company with a handful of jobs a month can estimate for free with a printable painting estimate template, the markup calculator and a proposal template for good-better-best options. A homeowner who wants a ballpark before calling painters needs no software at all: the interior painting cost calculator gives a range by rooms, size and prep level.

Commercial painting estimating software

Commercial bids start from drawings and a written spec: the estimator measures every surface from the plans, prices each coating system the spec names, and adds the general contractor's schedule, retainage and submittals. Of the pricing pages we read, two name working from plans, both on upper tiers: Bolster Pro lists a takeoff drawing tool and Clear Estimates Pro lists AI-powered plan uploads. The painting quoting tools are built around the residential walk-through, the proposal and the follow-up.

For mixed residential and light commercial work, the multi-user plans fit best: Estimate Rocket's Expand plan lists 15 full users for teams managing higher job volume across office and field. For bid work on plans, test a tool's square-foot pricing on one real spec before you commit. The differences in specs, payment terms and bonds are in commercial vs residential painting.

Test a painting estimate app on one real bid

A trial proves the estimating math only if you feed it a job whose price you already trust. These checks take one evening and need no customer.

  1. Load your rates: wall square feet per hour, trim linear feet per hour, doors each, ceilings, and the prep lines you charge for.
  2. Re-price a job you already won: use the measurements from your old estimate and see whether the app lands within a few percent of the price you sent.
  3. Check the gallons: compare the tool's paint quantity per coat with the paint calculator for the same walls.
  4. Change one surface: switch a ceiling from smooth to textured, or add a second coat, and see whether the labor hours move and not only the price.
  5. Start a second bid from the first: rates and line items should carry over without retyping.
  6. Print the material list: it should read as an order you could hand to the paint store.
PRO TIP
When the app misses the won job by more than your margin, suspect your rates before the software, and rebuild them with the pricing guide. Scheduling, deposits and invoices are a separate test, covered for two field-service platforms in Jobber vs Housecall Pro.

Painting estimating software: common questions

Is there free painting estimating software?

One of the ten tools on this page has a free plan: Contractor+ Freedom is free for up to 5 estimates or invoices a month and 250 leads and clients (read November 3, 2026). The other nine listed no free plan. PaintScout, Joist, Markate, Jobber and Housecall Pro offered two-week free trials with no credit card, Estimate Rocket offered a free trial plus a 90-day full refund window (all read October 30, 2026), and Clear Estimates offers a 30-day free trial. DripJobs said it does not offer a free trial, and Bolster's pricing page lists none. The other free route is a printable estimate template and your own production rates.

What is the cheapest painting estimate app?

Contractor+ Freedom costs nothing, capped at 5 estimates or invoices a month. Of the paid plans, Joist listed the lowest price: Basics at $10 a month billed monthly, capped at 5 documents a month, and Pro at $17 a month for unlimited documents and clients. Annual billing on Joist gives two months free.

Which estimating software is built for painters only?

PaintScout presents itself as software for painting contractors, and its Sales plan lists production rates and material lists. DripJobs sells a production-rate add-on for painting, pressure washing and other trades, and Estimate Rocket names painters among the trade contractors it serves. Bolster has a painting page and prices a quote from wall and ceiling quantities, but sells to many trades. Clear Estimates is a remodeling estimator with painting-bid templates among its project templates. Jobber, Housecall Pro, Joist, Markate and Contractor+ are general tools for many trades.

Do I need production-rate estimating?

Only if you price by the hour behind the scenes. Production rates turn measured square feet and linear feet into labor hours, so the price follows the work. If you already price by the room or by the square foot and win jobs at that price, a quoting app with line items does the job for less.

Is Jobber or Housecall Pro good for painting estimates?

Both send professional quotes and handle scheduling and payments, but they are field-service platforms for many trades and do not calculate gallons or labor hours for a painter. Our Jobber vs Housecall Pro comparison covers their plans for painting crews.
