How to Run an Estimate Walkthrough
A whole-house walkthrough takes 45 to 60 minutes done properly. The twenty-minute version is where underbidding starts: you eyeball the square footage, miss the oil-based trim, and find out on day three. Work the phases above in order, then turn the notes into numbers with how to price painting jobs.
1. Do the desk work first
10 minBuild year, square footage, and photos from the listing. A pre-1978 build means EPA RRP lead rules apply before you quote a single wall — see our guide to lead paint certification.
2. Measure in one direction, room by room
20-30 minPerimeter x height for walls, length x width for ceilings, linear feet for trim. Never mix — measuring in a loop and recording as you go stops the double-count that wrecks a bid.
3. Photograph every elevation
5-10 minWide shot per wall, close-up per defect. When a client insists the crack was not there, the timestamp settles it before it becomes a callback.
4. Ask the scope questions out loud
10 minCeilings in or out. Closets in or out. Who moves furniture. Ask while you are both standing in the room — asking by email later costs you two days.
5. Convert field notes into hours and gallons
Back at the shopPrep hours separate from paint hours, gallons at 350-400 sq ft per coat, sundries at 8-15% of material cost, then markup on top of cost.
6. Send while they still remember you

The Pre-1978 Question
Check the build year before you price anything
Disturbing more than six square feet of painted surface inside a pre-1978 home puts the job under EPA's Renovation, Repair and Painting rule: a certified renovator on site, contained work areas, specific cleanup, and records kept for three years. That is real cost and it belongs in the bid, not in your evening. Start with lead paint certification and hand the owner a lead paint disclosure form at the walkthrough.
